Position Summary:

Provide support for the accounting department in an administrative role including such activities as: scanning financial documents, copying documents, filing, electronic filing and organization, database data entry, bookkeeping, inventory tracking, and other support activities as needed.

Essential Responsibilities:

  • Scan all documents for the department as needed.
  • Maintain the electronic scanning directory.
  • Process data entry related to program requirements, including inventory as required by program guidelines, In-Kind transactions, and other tracking spreadsheets as required.
  • Copy and file accounting documents, including assisting Grant Accounts with billing documentation requirements per the Funders requirements.
  • Maintain, track and organize journal entries.
  • Assist with Accounts Payable as needed, including filing, vendor account maintenance, data entry, month-end statement verifications and calls to vendors as needed.
  • Manage the department calendar, supply orders and incoming and outgoing mail.
  • Oversee the routine count of inventory, petty cash, and gift cards.
  • Preserve the archived accounting records inventory in accordance with department policies.
  • Retrieve and process drop safe deposits and collect coins from machines.
  • Prepare daily, weekly and monthly reports as required.
  • Verify data for accuracy.
  • Perform bookkeeping and general ledger reconciliations, as needed.
  • Assist with the bi-weekly payroll data entry of allocations, as needed.
  • Assist other Accounting team members with spreadsheets, as needed.
  • Assist with year-end audit preparation and file organization.
  • Protect all confidential information, Agency property and electronic data; comply with safety rules.
  • Other duties as directed.

Knowledge, Skills and Abilities:

  • General office administrative skills.
  • General bookkeeping knowledge.
  • Attention to detail.
  • Possess excellent oral and written communication.
  • Sound judgment with ability to work autonomously.
  • Organize and prioritize work to meet necessary deadlines.
  • Proficiency in computers and multiple software programs.

Qualifications:

  • High school diploma; Associates degree a plus.
  • Two years of office and/or accounting administrative experience.
  • Intermediate Excel skills required.
  • Strong organizational skills and a clear understanding of deadlines.

Physical Requirements

  • Primarily works in office environment.
  • Ability to effectively communicate with staff from multiple departments.
  • Ability to operate and use office equipment, especially computer, keyboard and mouse.
  • Ability to continuously sit for up to 10 hours a day.
  • May occasionally lift up to 25 pounds.

This position pays $12.50 per hour.
